Deploying the easyDSE survey software in your organisation

 

Introduction

The easyDSE survey software is intended to "work straight out of the box" and is extremely easy to configure. However we recommend that you read this page carefully. By doing so it will ensure that you plan the rollout of the software in a logical manner and at the same time ensure that it will be welcomed by users.

 

There are a number of ways to deploy the survey software, to a large extent it depends on the structure of your organisation, and the relationship you have with other departments and H&S union representatives.

 

The advice on this page is based on experience of deploying large software solutions in the past. For software to be adopted into an organisation it is important to actively involve the end user. By following the guidance below we anticipate you will have a positive adoption of the easyDSE survey software.

 

1) Prior to purchasing the software

It is recommended that prior to deployment, you consult with department heads / H&S reps to state your intentions to move away from a paper-based DSE assessment method to an electronic one. You could show the easyDSE summary presentation to key personnel in your organisation to generate some initial interest. We recommend you include the H&S manager, a representative from the ICT department and H&S union representatives.

 

2) Customising the easyDSE survey software

Once the survey software is installed it needs to be customised to suit your organisation. We recommend this customisation takes place with the input of a small team of say 4 key people from across the site. You should include someone from the ICT department as they will have the job of linking the survey software to the intranet page and ensuring users can access the software. Furthermore the ICT representative will be able to provide input into some of the technical customisations such as whether or not to use NT usernames as the authentication method for the software.

Some of the possible customisations:

  • Welcome message - This is the message that is displayed by the software to the end user, prior to them taking a survey. It would be an excellent idea if you can get a very senior person within the organisation to add his/her name to this. This would encourage all users to adopt the survey.
  • Creating departments - this needs careful thought to reflect the actual structure of your organisation
  • Customising the question set - you have the ability to delete questions from the survey.
  • NT Usernames - whether to turn on/off using NT usernames as a unique identifier for the user
  • Training PowerPoint - whether to turn on/off the link to the training course included with the easyDSE software

You also need to discuss how you will link the easyDSE software to your company intranet site.

 

3) Trialing the software

Prior to a full organisation-wide rollout you should get one sizeable department to complete the survey software first. This will give you a chance to iron out any snags. If problems are found you may wish to repeat this with another single department.

 

4) Full deployment

After your successful trial you are now ready to contact all users in your organisation. The most convenient method would be to send out an email to all employees with a link to the survey software on your intranet site. Employees then click on the link and fill take the survey.
